Transport to France – route realities and key information

France occupies a strategic position on the European logistics map, sitting at the intersection of numerous transport corridors. It is also one of Poland’s leading economic partners, and road transport plays a major role in the exchange of goods between the two countries – as much as 87% of them are transported by truck.

Transport to France – cargo and documents

What goods are most commonly transported from Poland to France? These include machinery, mechanical and electrical equipment, as well as automotive parts and plastics. In transport from France to Poland, cars, chemical products and cosmetics are the dominant cargo types. It is also important to remember that Polish companies may carry out no more than one cabotage operation within 3 days of entering the country with an empty vehicle. Otherwise, they may face a financial penalty of EUR 15,000.

Transport to France requires the preparation of the appropriate documents. These include:

  • a Community licence,
  • an international CMR consignment note,
  • vehicle and driver documents, including the A1 certificate confirming the payment of social security contributions.

Transport to France and the applicable regulations

Under the Mobility Package applicable in France, drivers travelling to France are subject to a set of procedures, including electronic notification through the IMI system. They should receive at least the French minimum wage. From 1 June 2026, the SMIC rate will increase to EUR 12.31 per hour, while the minimum monthly salary will amount to EUR 1,867.02 gross.

It is also worth knowing that transport to France does not require a vignette. Tolls are charged for motorway use, and their amount depends on the vehicle category. The average cost is EUR 8–9 per 100 km. In low-emission zones (LEZs), a Crit’Air sticker is required. Failure to display the sticker may result in a fine of EUR 68. As recently as 2024, there were plans to extend ZFE zones to 43 cities, but in 2025 parliament voted to abolish them. However, until the end of 2026, a temporary pass remains available for vehicles in the Crit’Air 3 category, allowing entry into the zone on 24 days.

Transport to France – traffic restrictions and seasonality

France applies numerous traffic bans to vehicles weighing more than 7.5 tonnes. Both permanent restrictions, covering weekends and public holidays, and additional winter and summer bans must be taken into account. The permanent traffic ban applies, among other times, on weekends and public holidays – from 10:00 p.m. on Saturday until 10:00 p.m. on Sunday, and on public holidays from 10:00 p.m. on the preceding day until 10:00 p.m. on the holiday itself.

Transport to France is more difficult in summer due to increased tourist traffic. Additional restrictions apply during this period. On 11, 18 and 25 July, as well as on 8 August 2026, a nationwide traffic ban was introduced between 7:00 a.m. and 7:00 p.m., excluding vehicles transporting live animals, medical cargo or perishable goods.

In winter, restrictions are introduced in the Alpine region to reduce traffic on roads leading to ski resorts. They mainly affect the A40, A41, A43 and A48 routes, as well as access roads to Chamonix, Tarentaise, Maurienne, Grenoble and Chambéry.

Summer and winter restrictions significantly affect road availability and the capacity of the transport network. During winter, icy conditions and the mandatory use of snow chains may cause delays. In summer, heavy tourist traffic and additional bans lead to congestion and the need to divert around certain road sections. Planning should include time buffers for possible traffic jams, inspections and vehicle downtime during traffic bans. When calculating delivery times, it is advisable to allow an additional 1–2 days, especially for transport to Alpine regions or during the peak holiday season.

Transport from Poland to France – ferries and intermodal transport

Although most transport from Poland to France takes place by road, intermodal transport is becoming increasingly popular, especially when the final destination is the United Kingdom or Ireland. The ferry network between France and the United Kingdom includes as many as 38 freight routes operated by 6 shipping lines. An alternative is the railway tunnel under the English Channel, where trucks are loaded onto railway wagons. The journey takes approximately 35 minutes, while a ferry crossing takes around 45 minutes.

Transport to France – fuel prices and parking costs

According to the IRU report dated 19 June 2026, the price of Brent crude oil fell to approximately USD 80 per barrel, providing some relief for carriers – the average price of diesel fuel in the EU was EUR 1.783 per litre. Despite the decrease, this was still 9% higher than before the crisis in February 2022.

Numerous traffic bans increase demand for secure parking facilities. In 2026, a new guarded truck parking facility was opened near the A26 motorway in Saint-Hilaire-Cottes. It offers 100 parking spaces, 24-hour monitoring and sanitary facilities. The first 30 minutes are free of charge, and the EUR 8.5 million investment forms part of a parking network expansion programme, under which another 800 spaces are planned by 2028. In cities, particularly Paris, truck parking is expensive. For example, in Paris parking zone 1, covering shopping and tourist areas, the rates in 2018 were EUR 12 per hour, while in zone 2 they amounted to EUR 7.20 per hour.

International Transport with 3.5 Tonne Vehicles – Requirements and Documents

Under the regulations in force since 21 May 2022, light commercial vehicles with a gross vehicle weight (GVW) above 2.5 tonnes must meet specific requirements. These include adapting to new recording devices and maintaining accurate records of drivers’ working time. What other requirements apply to international LCV transport using vehicles of up to 3.5 tonnes?

Transport with 3.5 Tonne Vehicles – Regulations and Documents

What should companies know when providing international transport with vehicles of up to 3.5 tonnes? One requirement is having an effective and stable establishment. What does this mean in practical terms? The company must have an office and a parking facility capable of accommodating at least one-third of its fleet. The original employment contracts of drivers and certificates of professional competence must be kept at this location. Under the Mobility Package regulations, fleet vehicles should return to the operating base regularly, once every eight weeks.

Another requirement is good repute, confirmed by an appropriate declaration from the carrier and a criminal record certificate. Under the regulations, a conviction for conduct that breaches transport, road or commercial law may prevent a company from carrying out transport operations with vehicles of up to 3.5 tonnes.

Companies must also have documented financial standing. The amount of capital required depends on the number and weight of the vehicles. For vans with a GVW of 2.5–3.5 tonnes, the required amounts are €1,800 for the first vehicle and €900 for each additional vehicle. Financial standing must be demonstrated through a bank guarantee, annual financial statements or liability insurance.

3.5 Tonne Van Licence

The main document authorising a company to provide international transport services is a licence for the carriage of goods with vehicles of up to 3.5 tonnes. An application for the licence should be submitted to the Chief Inspectorate of Road Transport or the relevant district authority. What documents must be attached?

  • an authorisation to pursue the occupation of road transport operator, confirming that the required professional permissions are held,
  • a list of vehicles in the fleet, including their registration numbers, payload capacities, years of manufacture, FCM, VIN numbers and the legal basis for using them,
  • a document confirming financial standing,
  • a criminal record certificate,
  • proof of payment of the administrative fee,
  • confirmation that the company has an operating base and a suitably qualified transport manager.

Operating without a valid licence may result in a financial penalty of PLN 12,000.

International LCV Transport – Drivers’ Working Time Records

A licence for international transport with vehicles of up to 3.5 tonnes is not the only requirement. Companies must also maintain records of drivers’ working time. Although tachographs have not previously been required for vans of up to 3.5 tonnes, employers must keep documentation showing the number of hours worked, including night work, work on public holidays, on-call periods, overtime and absences.

Further changes will take effect at the beginning of July 2026. From 1 July, vehicles with a GVW of 2.5–3.5 tonnes used for international goods transport or cabotage operations will have to be fitted with a second-generation smart tachograph (G2V2). Regulation (EC) No 561/2006 also means that transport with vehicles of up to 3.5 tonnes will be subject to the same drivers’ hours rules as heavier vehicles. These include a maximum of 4.5 hours of continuous driving followed by a 45-minute break, which may be divided into periods of 15 and 30 minutes. The daily driving limit will be nine hours, extendable to ten hours no more than twice a week. The weekly driving limit will be 56 hours.

Transport with 3.5 Tonne Vehicles – Tachograph Requirements

The owner of the transport company must download tachograph data at least once every 90 days, while the documentation should be retained for ten years. Failure to install the device by the applicable deadline, or using an older type of tachograph, may result in a financial penalty of PLN 12,000. Companies must also obtain driver cards and company cards, submit the relevant applications to PWPW and provide the necessary training.

If transport with vehicles of up to 3.5 tonnes is carried out as domestic transport or for the company’s own account, fitting a tachograph is not required. Vans used for passenger transport are also exempt.

Preparing for International Transport with Vehicles of up to 3.5 Tonnes

The requirements described above allow transport companies to provide international services with 3.5 tonne vehicles legally and in compliance with the applicable regulations. What else should companies know? If an employed driver comes from a country outside the EU, the appropriate driver attestation must be obtained. This document confirms that the transport requirements have been met and that the driver is legally employed. It should be issued before the driver starts work. The original must be kept in the vehicle, while a copy should remain at the company’s registered office. Failure to hold a driver attestation may result in a fine of PLN 5,000. Ukrainian citizens may benefit from a simplified procedure. A Driver Qualification Card issued in Poland may be extended without requiring confirmation in Ukraine.

Once all formal requirements have been completed, the company can begin acquiring its first transport orders. To maintain a steady flow of work, it is worth cooperating with a trusted freight forwarding partner. Express Heroes offers a guaranteed minimum mileage of 11,000 km, competitive rates and fast payments. Cooperation with EH provides easy access to international transport orders and makes it possible to obtain routes suited to the carrier’s needs and fleet. This can provide greater control over the planning of future journeys and make income more predictable.

How to Become a Freight Forwarder: Everything You Need to Know

A freight forwarder plays an important role in the transport industry, ensuring that goods are moved smoothly, in accordance with established standards and applicable regulations. They act as an intermediary between the customer and the carrier, supervise the shipment and respond to any problems that may arise along the route. The role also involves building relationships with customers and carriers, negotiating terms of cooperation and maintaining the profitability of transport orders. How do you become a freight forwarder? What requirements do you need to meet? What does the job involve on a daily basis?

What Is a Freight Forwarder and What Does a Freight Forwarder Do?

A freight forwarder’s responsibilities focus on organising and supervising the transport of goods, as well as working with customers and carriers. The exact scope of the role depends largely on the size and profile of the company, as well as the types of cargo it handles. Rather than planning the entire supply chain, freight forwarders usually focus on individual transport orders. They communicate with customers and contractors, arrange loading and plan transport routes.

A freight forwarder’s work also involves ensuring that each transport order is completed correctly, monitoring its status and remaining in regular contact with the carrier and everyone responsible for the shipment. Other duties may include preparing transport quotations, arranging cargo insurance and monitoring payments. Freight forwarders also advise customers on the choice of transport method and search for new orders. Many specialise in a particular segment, such as road, air, sea, rail or intermodal transport.

How to Become a Freight Forwarder Without a Degree

There is good news for anyone considering a career in freight forwarding: you do not need a formal degree in logistics or transport to become a freight forwarder. Practical skills and personal qualities are often more important than certificates confirming formal education. A logistics qualification from a technical school or university can make a candidate more attractive to employers, as can completing a certified freight forwarding course. However, relevant hard and soft skills usually carry the greatest weight.

The absence of formal educational requirements does not mean that freight forwarding is an easy profession. Anyone wondering how to become a freight forwarder without a degree should first consider whether they have the qualities needed for the role. These include strong communication, negotiation and sales skills, as well as a high level of resistance to stress.

Freight Forwarder Requirements: Essential Soft Skills

Because freight forwarders communicate frequently with customers and carriers, the ability to communicate clearly and build professional relationships is particularly important. A future freight forwarder should be comfortable building trust, negotiating terms and resolving problems quickly.

Strong resistance to stress is equally important because transport operations can be unpredictable. Heavy traffic, changing weather conditions or a driver’s mistake may disrupt a carefully prepared plan and require an immediate response. Freight forwarders must therefore remain calm and be able to work effectively under time pressure.

Other valuable qualities include patience, responsibility and attention to detail. A freight forwarder is responsible not only for the safety of the cargo but also for the company’s image and reputation. Planning efficient routes requires advanced analytical skills. Negotiation abilities are equally important, as they help secure favourable terms of cooperation and can have a direct impact on work results.

How to Become a Freight Forwarder: Essential Hard Skills

Anyone planning to work as a freight forwarder should prepare thoroughly. Knowledge of transport regulations and procedures is essential. Understanding applicable standards and shipping documentation is highly useful and makes it easier to complete assigned tasks efficiently.

Freight forwarders must also be able to plan routes carefully and accurately, including the coordination of loading and unloading. They should pay close attention to all applicable deadlines.

Freight forwarding also requires the use of digital tools, including spreadsheets, CMS and TMS systems, and freight exchanges such as TIMOCOM. A good command of foreign languages is also needed to communicate freely and efficiently with customers and carriers, particularly when working as a freight forwarder in Europe.

Freight Forwarder Salary

A freight forwarder’s salary depends largely on their experience, responsibilities, working arrangement and position within the company. Typical positions include freight forwarding assistant, junior freight forwarder, senior freight forwarder and freight forwarding manager. Earnings are also influenced by the company’s size, business profile and location.

In Poland, gross pay for this position is approximately PLN 6,950–9,850 or more. According to the National Salary Survey results updated in January 2026, half of freight forwarders earn within this range. In large cities such as Warsaw, Wrocław, Poznań and Kraków, salaries are generally 10–20% higher than in smaller towns.

Compensation packages often combine a basic salary with a performance-related bonus. The bonus may depend on the number of completed orders, the margin generated or other criteria used by the employer. Pay usually increases with the level of responsibility and the size of the projects handled. Foreign language skills and specialisation in areas such as sea or air freight can also influence earnings.

Starting a Career in Freight Forwarding

You do not necessarily need previous industry experience to begin working in freight forwarding. Employers do, however, expect commitment, strong communication skills, a willingness to learn and the ability to work under time pressure.

Professional training may take place within the company after employment begins. Many logistics operators offer internships or entry-level positions as freight forwarding assistants. Practical experience can also be gained through internship programmes organised by public employment offices. These programmes provide an excellent opportunity to take the first steps in the profession and establish initial contacts within the industry.

People with relevant experience may be able to move into more senior positions, including junior or senior freight forwarder roles and, eventually, freight forwarding manager.

Freight Forwarder Training: Is It Worth It?

Professional courses can help candidates acquire the knowledge required for the job. After completing a programme, participants usually receive a freight forwarding certificate that may improve their chances of finding employment. Its importance should not be overestimated, however. At Express Heroes, practical abilities, communication skills and foreign language proficiency may carry as much weight as formal qualifications, and often even more.

A typical freight forwarder training programme covers the organisation of international transport, warehousing and distribution logistics, customs regulations and insurance procedures. It can help participants organise their existing knowledge and develop practical skills in areas such as transport coordination and the use of freight exchanges.

Is it worth it? There is no universal answer. A course may provide a future freight forwarder with a faster route into the industry and give a candidate an advantage during recruitment. The decision should depend on individual needs and career plans. The quality of the training also matters, including the trainers’ qualifications and the content of the programme.

Advice for New Freight Forwarders

Careful preparation can improve your chances of securing a freight forwarding position. A well-prepared CV describing skills and experience relevant to freight forwarding is essential. It is worth sending it to several companies to increase the likelihood of receiving an interview invitation.

One of the first tasks after starting the job may be building a database of customers and carriers, although this depends on the company, its working model and the way its operations are organised. This stage requires careful planning.

Freight forwarding involves maintaining regular contact with carriers. Knowing their fleets and departure schedules is extremely useful when organising transport. It is equally important to understand their availability, ability to handle particular shipments and areas of specialisation. Choosing a specific specialisation may also help reduce competition.

Freight Forwarding Challenges

Although working as a freight forwarder can be highly rewarding, it also involves several challenges. Time pressure and the associated stress are among the most common. Disruptions and short deadlines can create tension during daily work, although planning and monitoring tools can help reduce it.

These systems do not eliminate the challenges that are typical of freight forwarding, such as unexpected transport situations, time pressure and the need to make decisions quickly. Freight forwarders must be prepared for frequent changes of plan caused, among other things, by changing conditions along the route.

The role also requires frequent communication with customers. A high volume of orders, tight deadlines and the need to set priorities continuously can contribute to a high level of stress. Significant fluctuations in demand caused by changing economic conditions in individual countries and around the world present another challenge. These fluctuations may result in fewer available orders.

Managing these conditions requires multitasking skills and strong resistance to stress. Freight forwarders must not panic during difficult situations. They should remain clear-headed when disruptions occur. Despite these challenges, freight forwarding can provide considerable professional satisfaction. The job is rarely monotonous, and regular contact with people makes it more attractive.

How to Become a Freight Forwarder at Express Heroes

A freight forwarder at Express Heroes is responsible for acquiring customers and carriers and building long-term relationships with them. The role involves organising shipments, preparing orders and documentation, and agreeing and negotiating rates and terms of cooperation.

Other responsibilities include monitoring the completion of transport orders, responding to unexpected situations and working with other departments.

Freight forwarders at Express Heroes can receive additional benefits and a comprehensive employee benefits package. The company supports the professional development of employees responsible for organising transport by providing access to training and excellent opportunities to improve their skills, including foreign language proficiency.

A freight forwarder at Express Heroes also receives support from experienced team members, both during onboarding and in daily work. Employees can also expect a friendly working environment. An attractive bonus system links earnings to performance and the quality of their work.

Is Becoming a Freight Forwarder Worth It?

Once you understand how to become a freight forwarder, the next question is whether this career is right for you. It is undoubtedly a demanding profession, but it also offers broad opportunities for professional development. The lack of a mandatory industry-specific degree makes the role accessible to anyone who is not afraid of the challenges associated with working under time pressure.

To perform effectively in this position, freight forwarders need strong organisational, interpersonal, communication and negotiation skills. They must also be highly resistant to stress.

A freight forwarder’s work is full of unexpected situations and often requires a rapid response to current circumstances. For people with the qualities described above, however, it can provide considerable satisfaction and an opportunity to develop a career in a global industry.

Is it worth using the services of a freight forwarding company?

The need to transport different types of goods is now an essential part of trade and business operations. However, maintaining your own transport facilities means high costs. An alternative is to start working with a freight forwarding company. It should not be confused with a transport company. Freight forwarders are responsible for the comprehensive organisation of transport, including accepting transport orders, concluding agreements with carriers, preparing the necessary documentation, contacting drivers, monitoring shipment status and even arranging warehousing.

Freight forwarding company: what is it?

Let’s start with what a freight forwarding company actually is. Freight forwarding is an activity focused on organising the transport process, not on physically carrying the cargo, as is the case with a transport company. In practice, this means much more than simply finding a carrier. Freight forwarders deal with planning optimal routes, preparing transport documentation, arranging goods storage and often also handling customs procedures or insurance matters.

A freight forwarding company acts as an intermediary between the client and the entities that physically carry out the transport, meaning carriers. Freight forwarders find the right carriers for a given transport order and supervise its safe and timely execution, reacting quickly to any problems that may arise.

Freight forwarding company: cooperation that saves time

Route planning and completing the formalities related to organising transport are undoubtedly time-consuming tasks. This time can be saved by working with an experienced freight forwarding company. As a result, business owners and management teams can focus on the most important areas of their activity and on developing their company, while leaving logistics in the hands of professionals.

A freight forwarding company takes over the preparation of transport documentation from company owners and their teams. Thanks to modern transport management systems (TMS) and GPS monitoring, it can quickly plan optimal routes and help avoid traffic jams, detours or unnecessary delays.

Freight forwarding company: is it cost-effective?

Although cooperation with a freight forwarding company involves certain costs, it also supports the optimisation of transport-related expenses. This is possible because freight forwarders aim to use vehicle capacity as efficiently as possible, often combining cargo from several clients. Cargo consolidation reduces the unit cost of transport, especially in international freight transport.

In addition, a freight forwarding company is often in a stronger negotiating position with carriers than individual clients. This results from the scale of its operations and frequently makes it possible to obtain more favourable transport rates.

Freight forwarding company: access to knowledge and a wide range of services

People working in a freight forwarding company are experienced specialists with broad knowledge of road transport regulations and customs rules, both domestically and internationally. For the client, this means there is no need to independently monitor and analyse changes in law or differences between regulations in Poland and other European countries. Freight forwarders take over this responsibility by continuously following regulatory changes and preparing customs clearance procedures. The result is a lower risk of errors in documentation.

A freight forwarding company offers a wide range of services, including road, sea, air and rail transport, but not only. Take Express Heroes as an example. We provide our clients with access to attractive additional logistics services, such as customs brokerage, warehousing and insurance. By cooperating with us, clients can count on flexibility. Serving customers from various industries, we easily adapt to their individual needs and business specifics.

Freight forwarding company: fast response to unexpected situations

What other benefits come from working with an experienced freight forwarder? One of them is the ability to react quickly to unexpected changes in the schedule caused, for example, by adverse weather conditions, vehicle breakdowns or other disruptions. Specialists from a freight forwarding company can quickly prepare an alternative route plan, reducing the risk of downtime and delays in transport execution.

It is also worth knowing that 2026 marks the end of paper transport documents in the EU and the beginning of digital transformation in the transport industry. The eFTI standard, meaning Electronic Freight Transport Information, introduces electronic data exchange and improves the circulation of transport documents. However, it requires investment in IT, employee training and the implementation of the necessary security measures. This means additional costs. By working with a freight forwarding company, clients can avoid having to manage these changes on their own.

Freight forwarding company: how to choose one?

When choosing a freight forwarder, it is worth paying attention to experience, completed projects and customer references. Before deciding to cooperate, clients should carefully consider their expectations and define the scope of services that best matches their current needs. The next step is to verify the technologies and security procedures used by the freight forwarding company.

Contract transparency is also very important. Check whether the agreement clearly defines prices, additional costs and the terms of possible penalties for delays or damage. In cooperation with a freight forwarder, clear communication and a partnership-based approach are just as important.

Express Heroes: a freight forwarding company with many years of experience

Express Heroes is a modern freight forwarding company distinguished by the high quality of its services. It has many years of experience in the market. During this time, the company has earned the trust of numerous clients as well as carriers. Express Heroes is not only a freight forwarder handling international transport. The company also has its own fleet of vehicles dedicated to regular clients. As a result, it successfully combines the competences of a freight forwarder and a carrier. Cooperation with Express Heroes means access to a wide range of services and professional support.

Choosing the right freight forwarder has a major impact on the quality of transport services and the punctuality of deliveries. A well-selected forwarding partner can become strategic support in company development and allow business owners to focus on their core operations without unnecessary concerns about logistics.

Additional services for transport orders: warehousing

Warehousing is one of the key elements of the supply chain. It has a direct impact on the efficiency of the entire logistics process. To make transport order fulfilment smoother, more and more freight forwarding companies offer their clients additional logistics services, such as warehousing, which also helps increase the safety of transported goods. Express Heroes is one of them. What does professional warehouse support involve? What benefits can it bring to carriers?

Warehousing and goods storage: important elements of the modern supply chain

Modern supply chains are complex. They include not only transport itself, but also warehousing, goods storage, inventory management and distribution. Warehousing is a process that consists of several stages. It includes receiving goods, storing them, order picking, packing and dispatch.

Warehousing means much more than simply keeping goods in a dedicated storage space. It is about managing goods in a way that ensures their availability at the right time and in the right quantity. How does this work in practice?

Warehousing goods: main stages

What does warehousing and goods storage look like step by step? The first stage is receiving the products. After the goods arrive, they are checked and verified. Once warehouse staff confirm that the delivered goods match the order, they are entered into the system. They are then stored in the warehouse until order picking begins.

Order picking involves locating the right products, collecting them from storage, packing them and preparing them for shipment. The warehousing process ends with the release of the goods, which means preparing them for the next stage of the supply chain.

Warehousing and goods storage: when is it needed?

Storing products in warehouses is necessary when goods are delivered before the planned start of transport. Storage increases cargo safety before loading. Warehousing is also useful when there is a need to consolidate cargo from different senders.

Crossing national borders may involve time-consuming procedures. For example, while waiting for a customs inspection, cargo may be stored in a customs warehouse until the inspection is completed. Customs warehouses are also used to store goods awaiting customs clearance, including products that may be exempt from customs duties.

When else is warehousing and goods storage needed? It is important for products that require special conditions. This includes food, pharmaceuticals and certain chemical substances. In properly equipped warehouses, such goods can be stored at controlled temperatures or with the necessary safety measures in place.

Warehousing may also be required when goods are waiting for further transport, for example by sea or air. Goods storage is often needed before distribution or when the next stage of transport is delayed. In international transport, transit warehouses are also used, especially in the case of connection delays or when transshipment is required.

Why is it worth using warehousing services?

Warehousing services make inventory management easier, which has a direct impact on delivery times. Warehousing supports the optimisation of logistics operations and enables more flexible route planning. It allows goods to be stored safely and unloaded earlier, without waiting for the final recipient. It also improves transshipment and reduces the risk of downtime.

Warehousing and goods storage make it easier to combine cargo and optimise the order of deliveries. If the recipient is not ready to accept the goods, warehouse storage helps avoid penalties or additional costs related to vehicle waiting time. Goods stored in a dedicated facility are protected against damage and can safely wait for the next stage of transport or distribution.

Express Heroes: warehousing with trusted partners

For carriers, Express Heroes is not only a source of stable and attractive transport orders. We also offer a broad package of additional logistics services, including warehousing. This is possible thanks to cooperation with trusted companies located in different countries around the world. We understand how warehousing and goods storage affect carrier comfort and the smooth execution of transport operations.

Other additional services available through Express Heroes include customs brokerage, which helps simplify border-crossing formalities, groupage services, cargo insurance and carrier liability insurance. Thanks to these solutions, carriers can focus fully on developing their business, without unnecessary concerns about safe and efficient transport.

Modern warehousing: simplifying the supply chain

There is no doubt that warehousing is an integral part of modern transport orders. It helps shorten transport lead times and reduce business-related costs, such as vehicle downtime fees or penalties for delays. Modern warehouse centres provide not only safe storage, but also additional services such as order picking, packing, labelling and more.

Using services such as warehousing and goods storage brings real benefits to carriers. Flexible warehouse support often determines delivery punctuality and operational continuity in the execution of further transport orders. Warehousing also makes it possible to react quickly to changes in the supply chain.

Express Heroes successfully combines transport organisation with warehousing, responding to the expectations of its partners and offering coherent management of the entire transport-related process. In the transport industry, effective and flexible warehousing is often the element that helps companies gain a competitive advantage in the market.

0% VAT in international transport: rules, documentation and practical tips

Understanding how to apply the 0% VAT international transport rate is essential for every carrier entering the TSL market, as it requires specific documentation and adherence to tax regulations.

How should VAT be settled in the TSL industry? This is a question many carriers ask when they are just entering the transport market. The most attractive option is undoubtedly the 0% VAT rate, but applying this rate requires meeting specific conditions and collecting the right documents. When can the 0% VAT rate be used in international transport? What needs to be documented?

When does the 0% VAT international transport rate apply?

The 0% VAT rate for international transport services allows the service provider to retain the right to deduct input VAT while not increasing the price of the service for the client. It is worth using this rate whenever possible, but it cannot be applied in every case. According to Article 28b of the Polish VAT Act, the place of taxation is generally the country where the service recipient has its registered office.

For example, transport between France and Germany carried out for a French contractor means that the service is taxed in France and cannot be settled according to Polish VAT rates. In such a case, the invoice should include a note such as “reverse charge” or “NP”, meaning that the service is not subject to taxation in Poland.

There is, however, an exception. Polish VAT applies when the transport is carried out entirely in Poland for a buyer from outside the European Union. In this situation, Poland becomes the place of taxation, and the service may be settled at the 0% VAT rate or at the standard 23% VAT rate, depending on the specific circumstances.

To benefit from the 0% VAT international transport status, you must ensure all your freight documents are compliant with Polish tax law.

Article 83(1)(23) of the Polish VAT Act: settlement under current regulations

The rules for tax settlement are regulated, among others, by the Polish VAT Act. Article 83(1)(23) provides information on the 0% VAT rate. This rate applies to international transport services. The definition of international transport is included in Article 83(3) of the same Act. According to this definition, international transport is a transport service whose route passes through Poland, or where Poland is the place of dispatch or destination, and where the starting point or final destination is located in a non-EU country.

To understand this definition more clearly, it is useful to look at a few examples. The 0% VAT rate applies to the transport of goods from Poland to China or from China to Poland. The provisions of the Polish VAT Act also apply to transit through Poland between non-EU countries, as well as to transport from another EU country to a non-EU country if the route runs through Poland.

Transport service: which VAT rate applies?

The 0% VAT rate therefore applies to international transport. It may also apply to intermediary and freight forwarding services related to international transport operations. However, transport carried out within Poland or between Poland and another EU country does not fall under the definition of international transport and is not covered by the 0% VAT rate.

This rate also does not apply when transport takes place outside the EU and the route does not pass through Poland, or when transport is carried out between two EU Member States, even if the route runs through Poland. In such cases, the transport service is settled according to the regulations applicable in the buyer’s country, if the parties are based in EU countries.

VAT rate in international transport

There is one more important rule. The Regulation of the Polish Minister of Finance issued on 9 December 2023 provides the basis for applying the 0% VAT rate to transport services when the transport of goods is carried out entirely within Poland or within the EU, but only if that transport is part of a service considered international transport.

An example would be the transport of a container from Gdynia to a terminal in Warsaw as part of a shipment from Poland to the United States.

When else does the 0% VAT rate apply? It may also apply to accompanying services. In addition to intermediary and freight forwarding services connected with international transport, these may include sea rescue and inland waterway services, loading, unloading and transshipment in seaports and airports, as well as supplies and services for sea vessels and aircraft.

International transport: VAT and required documents

To apply the 0% VAT rate, the service provider must present appropriate documents confirming the international nature of the transport. In some cases, it is also necessary to prove that the value of the transport service has been included in the taxable base for import.

According to Article 83(5) of the Polish VAT Act, settlement at the 0% VAT rate requires a consignment note or a freight forwarding document, such as a CMR, AWB, sea bill of lading, railway consignment note, road transport document or inland waterway transport document. Another document may also be accepted if it clearly shows that the transport from the place of dispatch to the place of destination crossed the border with a third country.

The 0% VAT rate also requires an invoice issued by the carrier or freight forwarder and, if the goods are imported into Poland, a customs document confirmed by the customs and tax office. If the required documents are missing, the service provider must apply the standard 23% VAT rate. Once the documents are provided, a corrective invoice may be issued to apply the 0% VAT rate.

VAT rate in transport: what is worth knowing?

The 0% VAT rate may apply not only to the direct provision of a transport service, but also to re-invoicing such a service. In this case, the same rules apply as for the direct provision of the service.

To avoid the risk of corrections and penalties, it is worth determining the place of taxation before the transport is carried out. This helps reduce the risk of incorrectly applying either the 0% or 23% VAT rate. It is also good practice to collect all documents required for settlement at the 0% VAT rate before the tax return submission deadline. These documents should be stored for five years, as they may be needed during a possible tax audit.

By cooperating with the freight forwarding company Express Heroes, carriers gain the possibility of direct contact with an accountant, which means fewer doubts and a lower risk of errors. In addition, preparing and sending invoices to many different buyers becomes a thing of the past. One invoice issued to the freight forwarding company is enough.

Express Heroes is responsible for the continuity of transport orders by searching for assignments and negotiating contract terms on behalf of the transport company. This allows carriers to save time and focus on performing transport services instead of dealing with these time-consuming administrative and sales-related tasks.

How does cooperation between a freight forwarder and a carrier work step by step?

In cooperation between a freight forwarding company and a carrier, the freight forwarder is responsible for organising and supervising the transport process, while the carrier performs the actual transport service. This cooperation brings benefits to both sides. The freight forwarder gains a reliable partner to carry out transport orders, while the carrier receives a stable source of assignments and does not have to search for customers independently. What does this cooperation look like in practice?

Freight forwarder, carrier and their roles

While the carrier is responsible for collecting the cargo and delivering it to the agreed destination, the freight forwarder makes sure that the entire delivery process runs smoothly. The freight forwarder not only starts cooperation with the carrier, but also plans the route and monitors every stage of the transport order. A good freight forwarder supports the carrier with customs clearance, helps prepare transport documentation and monitors the shipment throughout the journey.

Cooperation between a carrier and a freight forwarding company allows the carrier to focus fully on performing the transport service instead of looking for new customers. This saves time and reduces operational pressure. Such cooperation also brings additional benefits. For example, Express Heroes gives carriers access to trailer rental on attractive terms, as well as additional logistics services such as warehousing and customs brokerage.

Cooperation between a freight forwarder and a carrier: the initial stage

Cooperation between a freight forwarder and a carrier begins with making contact. In the case of Express Heroes, this can be done by phone or email. The contact form and hotline number are available on our website. At this stage, the freight forwarder needs to collect basic information about the transport company, the type of fleet it operates and its preferred transport routes. This stage ends with an initial verification, followed by the agreement of future cooperation terms.

This step requires full transparency from both sides. The carrier defines its requirements and availability, while the freight forwarder presents, among other things, the offered rate per kilometre and the procedures related to cargo, transport orders and payments.

Signing an agreement between the freight forwarder and the carrier

After the initial arrangements, it is time to formally confirm cooperation. Signing an agreement opens the way for carriers to start carrying out their first transport orders. The freight forwarder searches for and negotiates transport assignments on behalf of the carrier. The freight forwarder also handles all formalities related to the orders and then plans them by collecting the necessary information from the client. Once the carrier accepts the order, the freight forwarding company optimises the route and prepares the transport documents.

The start of the transport operation does not mean that the freight forwarder’s work is finished. At this stage, the freight forwarder monitors the progress of the order and stays in constant contact with the carrier. They also provide support in case of roadside checks or problems during the route. The carrier, in turn, is obliged to carry out the order according to the agreed schedule. By monitoring the transport process, the freight forwarder acts as a link between the company ordering the transport and the driver, making sure that the agreement is properly fulfilled.

Freight forwarder and carrier: completing the order and handling potential claims

Completing a transport order means that the carrier must prepare an invoice and the documents confirming that the transport service has been completed. These documents are the basis for settlement. When cooperating with a freight forwarder, the transport company settles accounts with one business partner instead of several separate clients. This saves time and energy. Clear payment terms and timely payments are extremely important factors that influence the quality of cooperation between a freight forwarder and a carrier.

It is also worth knowing how liability works in the event of damage. If damage occurs because an unsuitable subcontractor was selected, the freight forwarder may be held responsible for the loss. However, this applies only when negligence in the selection of the carrier is proven. Otherwise, the carrier is responsible for damage, loss or failure to deliver the cargo within the agreed time.

Cooperation with Express Heroes: requirements and conditions

At Express Heroes, partnership-based relations with carriers are a priority. To start cooperation with us, a carrier only needs to have a business registered in one of the EU countries and a fully operational vehicle that meets the requirements specified in transport regulations. Thanks to limited formalities, the initial verification process is very quick.

We provide cooperating carriers with the support of a dedicated freight forwarder who plans the route using advanced software, monitors its progress and, when necessary, helps solve problems during transport. The freight forwarder remains in regular contact with the carrier throughout the cooperation, answering questions and clarifying any doubts.

For cooperation between a carrier and a freight forwarder to be successful, a clear division of responsibilities and regular communication between both sides are essential. Carriers who choose this model save time on searching for customers and preparing documentation. They can also rely on comprehensive expert support, which helps them carry out transport orders more efficiently and build a stable source of work.

Financial standing for a transport licence: what carriers need to know

To operate legally as a road transport company, a carrier must hold a valid transport licence. However, obtaining one requires proof of financial standing. This requirement applies both to domestic transport operations and to international road transport within the European Union. What financial standing amount is required for a transport licence? How can a carrier prove that it meets this condition?

Financial standing for a transport licence: legal basis

The requirement to prove financial standing for a transport licence results from Polish road transport regulations and from Regulation (EC) No 1071/2009 of the European Parliament and of the Council of 21 October 2009, which has applied in Poland since 4 December 2011. Financial standing is one of the key conditions for obtaining a transport licence, alongside professional competence, good repute and a real and stable establishment in one of the EU Member States.

Under these regulations, a road transport operator must be able to meet its financial obligations towards business partners at any time during the financial year.

What is the purpose of this requirement? It helps protect the transport market and increase the stability of the industry. Financial standing for a transport licence is intended to ensure that transport companies are able to handle financial obligations connected with their operations, such as cargo insurance, potential damage claims or other transport-related liabilities.

Financial standing for a transport licence: required amount

The required level of financial standing depends on the size of the carrier’s fleet. The amounts are specified in EU regulations, while their annual conversion into national currency is based on the euro exchange rate published in the Official Journal of the European Union on the first working day of October. The adjusted amount then applies from January of the following year.

What financial standing amount is required for a transport licence? For heavy goods vehicles above 3.5 tonnes, the required amount is EUR 9,000 for the first vehicle and EUR 5,000 for each additional vehicle. For vans and light commercial vehicles up to 3.5 tonnes, the requirement is EUR 1,800 for the first vehicle and EUR 900 for each additional vehicle.

When must financial standing be proven?

The required financial capacity must be demonstrated when submitting an application for a transport licence. However, this is not the only situation in which the requirement applies. Financial standing is also required when renewing a licence for the transport of goods or passengers, renewing certified copies of the licence after their expiry date and adding a new vehicle to the fleet if an additional licence copy is needed.

If a carrier cannot provide proof of financial standing for a transport licence, the competent authority may decide to suspend or even revoke the licence. In most cases, the operator is given a maximum of six months to correct the irregularity. If the requirement is still not met after that period, the carrier may lose its transport authorisation.

How to prove financial standing for a transport licence

How can a road transport company prove its financial standing? If the company keeps full accounting records, it may submit financial statements, including a balance sheet, profit and loss account and additional information, certified by an auditor or another authorised person. The documents should confirm that the company’s capital and reserves reach the value required for the entire fleet.

Financial standing for a transport licence may also be proven in other ways, for example by presenting a bank account balance confirmation. In this case, the funds are not formally blocked on the account, but they should remain available until the procedure is completed. Otherwise, the application process may end unfavourably for the carrier.

Another form of proof is a bank guarantee or insurance guarantee. In this model, a bank or insurance institution provides security and assumes financial responsibility for the carrier up to the required amount.

It is also worth mentioning an increasingly popular option: financial standing insurance. In practice, this solution may replace the need to freeze the carrier’s own capital. By paying annual premiums, the carrier can obtain confirmation from an insurance company that the financial standing requirement is met whenever such proof is needed.

Financial standing: practical tips for carriers

To avoid problems with financial standing for a transport licence, transport companies should plan their budget in advance. This is especially important for carriers that have only recently entered the market. Monitoring the euro exchange rate is also important, as it affects the required security amount when converted into Polish zloty.

Carriers should carefully analyse and choose the most suitable form of proving financial standing. Companies with stable capital may decide to use a bank balance confirmation, while new road transport operators often choose financial standing insurance as a more flexible solution.

By maintaining the required level of financial standing and regularly updating documents, a carrier reduces the risk of business interruption. This also supports smooth cooperation with the freight forwarding company Express Heroes. Transport orders can be carried out continuously and without unnecessary disruption, which helps carriers maintain financial liquidity and a stable source of income.

Additional services for transport orders: cargo insurance

Modern logistics is no longer just about moving goods from one place to another. It also includes a growing range of additional transport services designed to improve safety on the road, increase cost predictability and make cooperation between business partners more secure and efficient. One of these services is cargo insurance, which protects the interests of both the shipper and the carrier by reducing the financial risk related to unexpected incidents during transport.

What can be covered by goods in transit insurance? What does cargo insurance include and when is it most useful? Learn more about cargo insurance and find out why it is becoming an increasingly important part of professional transport and freight forwarding services.

Cargo insurance: what is it?

What is cargo insurance? It is an insurance policy that covers goods during transport. Unlike standard carrier liability insurance, cargo insurance protects the cargo itself and its value, rather than only the carrier’s legal liability. It provides financial protection in the event of cargo damage, destruction, loss, disappearance or theft.

Goods in transit insurance is not mandatory in Poland. However, many carriers, freight forwarders and companies involved in transport operations decide to use it as an additional layer of protection in situations beyond their direct control. Cargo insurance may apply not only to road transport, but also to sea, air and rail transport.

Cargo insurance: what can be covered?

The scope of cargo insurance is broad and flexible, and is usually agreed individually. Coverage may include many different types of goods, from electronics, household appliances and consumer products, through construction materials and structural components, to commercial and production goods. Oversized cargo and sensitive goods, such as cosmetics or pharmaceutical products, may also be covered.

What is not covered by cargo insurance? This information is specified in the General Terms and Conditions of Insurance. Common exclusions may include live animals, works of art, waste, personal relocation property or documents. Individual policies differ in terms of coverage, exclusions and price, which is why it is worth comparing available offers and choosing the solution best suited to the specific type of transport and business needs.

Cargo insurance: who is it for?

Cargo insurance is particularly beneficial for cargo owners, as it protects them against financial losses related to damage or loss of goods. However, it is also increasingly used by carriers and transport companies responsible for the safe delivery of their customers’ cargo. Manufacturers, traders, importers and exporters also choose cargo insurance when shipping or receiving goods as part of their regular business operations.

Voluntary transport insurance may apply not only during the journey itself, but also during related logistics operations, such as loading, reloading, transshipment or temporary storage. Cargo insurance works well as a supplement to a traditional liability policy. For many businesses focused on financial security and risk management, it is becoming a standard element of transport cooperation rather than an optional add-on.

Cargo insurance against transport damage: when is it needed?

This type of protection helps reduce financial risk, prevent costly disruptions and limit the consequences of failing to meet contractual obligations. A cargo insurance policy may provide compensation in the event of damage to or loss of goods. It is especially worth considering when the transported cargo has a high value and its loss could negatively affect the company, its operations or its reputation.

Transport insurance is also useful for long-distance transport, especially in international logistics, where routes may involve several countries, multiple handling points or transshipment operations. Cargo should also be insured when it is particularly vulnerable to damage, for example glass components, luxury furniture, fragile goods or high-value products, and when standard carrier liability insurance may not cover the full value of the shipment. The expectations of the client are also important. If the shipper requires full financial protection, cargo insurance is often the right solution.

How does cargo insurance affect the transport process?

Cargo insurance influences the entire logistics process by increasing the financial security of both the carrier and the shipper, while reducing the risk of losses on both sides. However, it is more than protection against unexpected costs. Cargo insurance also helps build trust between the cargo owner and the transport company responsible for the delivery. This improves cooperation, transparency and confidence throughout the supply chain.

Cargo insurance may also support faster and simpler claims settlement in the event of damage, as well as better risk control in transport operations. A policy can provide protection not only against theft or cargo damage, but also against natural events such as fire, storms or hurricanes, depending on the agreed scope of coverage.

Cargo insurance with Express Heroes

Cooperation with Express Heroes gives our partners access to a broad package of additional logistics services, including warehousing, customs brokerage and cargo insurance offered on favourable terms. Through Express Heroes, it is possible to insure 100% or even up to 130% of the cargo value, helping protect against potential financial losses.

Depending on the carrier’s individual needs, the policy may also cover costs related to cargo downtime, freight charges and other situations that could generate financial losses. Coverage may also include excise duties and customs duties, depending on the agreed insurance terms.

To receive compensation under cargo insurance, it is usually enough for loss or damage to occur, without the need to prove liability in the same way as in standard liability-based claims. Partners can also count on the support of specialists who use their knowledge and experience to help find the right solution, regardless of the situation.

Although cargo insurance is formally an additional service connected with transport orders, it is gradually becoming an integral part of modern logistics and freight forwarding. It also plays an important role in building long-term relationships with clients and strengthening competitive advantage in the transport market. Cargo insurance is a practical risk management tool that supports safe, efficient and reliable transport operations, from loading to final delivery.

Freight transport to Italy — route realities and key information

Thanks to its diversified economy, well-developed transport infrastructure and strategic location, Italy is an attractive market for many businesses, including manufacturers of industrial and food products. However, freight transport to Italy requires careful planning. What should carriers pay attention to before setting off? What is worth knowing?

Freight transport to Italy — the most popular routes from Poland

Italy can be reached from Poland via the Czech Republic and Austria. The route runs along the D1 motorway from Ostrava to Brno, then through the A1 in Austria and the A23 in Italy. In transit countries, truck drivers are required to use electronic toll collection systems. The Czech Republic and Slovakia operate toll systems, while in Austria, the GO-Box device is used, with rates calculated based on the number of axles and the emission class of the vehicle. Failure to pay the required toll may result in a high fine. After entering Italy, motorway tolls are collected at toll gates, and the amount depends on the vehicle category and the length of the travelled section.

When the destination is Tarvisio, freight transport to Italy is most often carried out via Slovakia and Austria, more specifically through Žilina and Bratislava via the D1 and D2, then along the Austrian A6 and A2 motorways and the Italian A23. In turn, the most scenic and, at the same time, the shortest route to Italy leads to Modena, via the motorway to Dresden and Munich, through Innsbruck on the A93 and A13, and then across the Brenner Pass on the A22. This route runs through the Alps and is heavily congested in the summer season, which may cause delays. It is also worth noting that from 1 July 2024, all vehicles and vehicle combinations over 3.5 tonnes travelling on German motorways and federal roads are subject to the German road toll, known as Maut.

Freight transport to Italy — seasonality and ferries

Routes along the coast or deliveries to Italian islands require ferry crossings. In the case of Sardinia, ferries from the mainland operate all year round from Livorno, Civitavecchia, Genoa and Barcelona. For example, the Livorno–Olbia crossing takes approximately 7.5 hours and costs around EUR 22. On the Amalfi Coast, ferry services operate seasonally, from late March or early April until the end of October. Outside the season, crossings are available only on selected routes. It is worth booking ferry crossings in advance, as ticket prices usually increase as the departure date approaches. Availability also becomes more limited.

When planning freight transport to Italy, weather conditions must also be taken into account, especially in mountain areas, where they can change rapidly. Heavy rain, violent storms and fog in summer, as well as heavy snowfall and icy roads in winter, may make the journey more difficult. That is why it is advisable to check weather forecasts on regional meteorological services before departure.

Freight transport to Italy — time buffers and parking areas

Heavy traffic on Austrian and Italian motorways during the summer season increases the risk of delays. Registration in electronic toll systems or the use of telematics devices can speed up the journey and help avoid queues at toll gates. When transporting goods with vehicles over 7.5 tonnes, carriers must also take into account the Italian driving ban calendar. It is also worth checking current information about roadworks.

Freight transport to Italy also requires proper rest planning, in line with drivers’ working time regulations. In Italy and in transit countries, there are numerous parking areas and truck stops with infrastructure adapted to articulated vehicles. Located along motorways, truck stops offer dedicated areas for heavy goods vehicles, fuel stations, refrigerated trailer charging points, showers, laundry facilities and ATMs. A good example is the Sadobre parking area near Vipiteno on the A22. The first hour of parking is free of charge, hours 2 to 10 cost EUR 1.50, hours 11 to 15 cost EUR 1, and from the 16th hour onwards the fee is EUR 0.60.

It is important to remember that, unlike passenger cars, trucks in Italy cannot park in tourist centres or on streets marked with blue lines. Cities also have ZTL zones and weight restrictions, and entering them without authorisation may result in a high fine. Therefore, when planning a stop, carriers should use parking areas designated for heavy goods vehicles.

Freight transport to Italy with Express Heroes

A carrier cooperating with the freight forwarding company Express Heroes can count, among other things, on transport orders on Italian routes. These operations are carried out within a guaranteed mileage model, with at least 11,000 km per month. Since the freight forwarder not only builds a base of transport orders, but also negotiates rates and organises routes, the risk of delays is reduced, while the transport company saves time on planning. Carriers also benefit from reliable and fast settlements, paid even within 3 days.

Although freight transport to Italy requires planning and knowledge of local regulations, cooperation with a freight forwarding company makes the process much easier. Carriers receive support in choosing the best route, taking into account planned tunnel closures or current weather conditions. The freight forwarder also helps with parking planning and motorway toll calculations. Proper preparation for transport operations on Italian routes is an investment in road safety and helps ensure on-time delivery.
