In addition, the freight forwarder remains in contact with both the carrier and the client, providing support in the event of delays or operational problems and supplying both parties with relevant information.
Communication standards in freight forwarding – what should be agreed?
Access to up-to-date information is extremely important in freight forwarding. Therefore, it is worth establishing communication standards before the order is carried out in order to improve cooperation and base it on transparent rules. This includes not only identifying the main points of contact on the client’s, freight forwarder’s and carrier’s sides, but also selecting the channel for sharing status updates and determining when updates should be sent. The aim is to ensure a predictable flow of information.
The transport status provided by the freight forwarder should contain specific information, including answers to questions about the location of the transport and any possible delays. In their daily work, freight forwarders provide status updates concerning:
- acceptance of the order – the status contains information about the details of the transport, such as the loading and unloading locations and the required vehicle,
- confirmation that the vehicle is ready – this informs the client that the vehicle is ready to carry out the order,

Escalation involves implementing structured procedures aimed at resolving a problem. When should an issue be escalated? In situations where a delay threatens the delivery deadline or there are concerns about cargo safety. Escalation may also result from discrepancies in documents, complaints, additional costs, the risk of losing an unloading slot or the inability to contact the carrier.
The purpose of escalation is to reduce the response time to a problem and efficiently eliminate disruptions. It should include elements such as:
- a description of the situation,
- the time when the problem occurred,
- the impact on the transport,
- the proposed solution,
- information about who is responsible for making the decision.
Freight forwarder and carrier – a partnership-based relationship
A partnership model of cooperation between the carrier and the freight forwarder ensures the efficient execution of orders, without disruptions or delays. The carrier should receive clear information about the order, a complete set of instructions, contact details, cargo securing requirements, loading and unloading procedures and rules for reporting problems. At the same time, the carrier should know that in the event of downtime, breakdowns, problems at the loading dock or uncertainties concerning documents, they can rely on a quick response from the freight forwarder.
